The Moore Pavilion
The Pavilion is a 30’ x 55’ fieldstone pavilion with a cedar roof and working fireplace. Maximum capacity of the Pavilion and surrounding area is 200 people. The Pavilion includes access to private handicap accessible restroom facilities, seven 15-amp electrical outlets, one potable water spigot, use of surrounding lawn area, and use of the paved parking lot with handicap access and the lower red gravel parking lot. Facility lighting is located under the roof of the Pavilion and on the front and back exterior. 14 picnic tables are included with the rental that can be removed from the area for an additional fee. Early setup/rehearsal and next day breakdown are optional items exclusively for the Pavilion. The Pavilion is only available for a minimum of five hours on Sundays through Fridays during the hours of 9 am-10 pm. On Saturdays, the Pavilion is only available for a full day rental (13 hours from 9 am-10 pm).
The New Pond
The Pond is an open-air rental location featuring two ponds with a connecting waterway, springhouse, pergola and a stone patio and lawn area. Maximum capacity of 200 people. The Pond includes two 15-amp electrical outlets and one 30-amp electrical outlet, paved parking space for two handicap vehicles immediately adjacent to the Pond, use of the Visitor Center restrooms and parking lot. There is no facility lighting or water access at the Pond. The Pond is located near the exit gate of the Preserve, approximately ¼ mile from the Visitor Center. The Pond is only available for a minimum of three hours during the hours of 9 am-9 pm. For safety reasons, all events at the Pond must conclude at 9pm.
The Stone Bridge
The Bridge is an open-air rental location featuring an elongated 1930’s stone arch bridge that spans over Piddock Creek. Maximum capacity of 150 people. The Bridge includes use of Visitor Center restrooms and parking lot. There is no facility lighting or water access at the Bridge. During operating hours, the public must be able to use the six-foot sidewalk on the left side of the bridge as it is the only thoroughfare connecting both sides of the Preserve. A recommended option for events beginning after 4 or 5 pm, depending on the season. The Bridge is only available for a minimum of three hours during the hours of 9 am-9 pm. For safety reasons, all events at the Bridge must conclude at 9 pm.
The Gazebo
The Gazebo is located in the heart of Penn’s Woods, a short distance from the Visitor Center and New Pond. The Gazebo rental location features a 12' x 18' Gazebo structure with a cedar roof on a red tipple stone pad area. The Gazebo has 6 2-person benches on each rounded side and can seat 12+ people. There is room outside the Gazebo for additional seating. Maximum capacity of 50 people. The Gazebo includes use of Visitor Center restrooms and parking lot. There is no facility lighting or water access at the Gazebo. The Gazebo is only available for a minimum of three hours during the hours of 9 am-9 pm. For safety reasons, all events at the Gazebo must conclude at 9 pm.
The Audubon Observatory
The Observatory is an open-air location featuring an elevated platform with black steel railings, cedar log embellishments and retractable canopy roof. Maximum capacity of 25 people. The Observatory is located on the Audubon trail across the Stone Bridge. The Observatory includes use of Visitor Center restrooms and parking lot. There is no facility lighting or water access at the Observatory. The Observatory is only available for a minimum of three hours during the hours of 9 am-9 pm. For safety reasons, all events at the Observatory must conclude at 9 pm.
The Visitor Center Auditorium
The Auditorium is a large 40’ x 24’ indoor meeting space located inside of the Visitor Center adjacent to the Gift Shop. Maximum capacity 75 people. The Auditorium is the Preserve’s only indoor rental venue and features large glass windows that look out into the forest. The Auditorium includes use of audio-visual equipment, use of folding tables and chairs, if available, and use of Visitor Center restrooms and parking lot. There is facility lighting in the interior and exterior as well as electrical and potable water access. The Auditorium is only available for a maximum of five hours during the hours of 9 am-10 pm.
Rental Rules and Regulations
RULES FOR USE: User, User’s guests, and all vendors must abide by the Preserve’s Rules and Regulations which are incorporated herein below as well as the Visitation Rules posted on the Preserve’s website here and throughout the Preserve. Violations of these rental Rules and Regulations will result in immediate loss of the security deposit. Violations may also affect vendors and their ability to return for future events at the Preserve. Users and their representatives must receive the Preserve’s Event Coordinator’s final approval of the rental venue’s condition before leaving at the conclusion of the event.
PROPERTY DAMAGE: Damaging, defacing, improperly using, or removing of any plant, sign, structure or equipment is prohibited. This is cause for immediate loss of the security deposit and the User will be charged appropriately for any damages and/or repairs.
PERSONAL DAMAGES & INDEMNIFICATION: The Preserve is not responsible for damaged, lost or stolen personal property. The User assumes full responsibility for any injuries or damages that may occur. The User will release, indemnify and hold harmless the Preserve, its officers, agents, representatives, employees and volunteers from any and all claims or action arising out of the use of, or the inability to use, the Property by the User and User’s officers, contractors, agents, employees, invitees, volunteers, participants, heirs or assigns or anyone associated with User. User understands and acknowledges that this Agreement discharges the Preserve from any liability or claim that may arise with respect to bodily injury, personal injury, illness, death, or property damage that may result from use of the Property. Should the User, its successors or assigns assert a claim in contravention of this Agreement, User, its successors or assigns will be liable for the expenses (including legal fees) incurred by the Preserve unless the Preserve is found liable by a court of competent jurisdiction without further recourse on such claim for willful and wanton negligence. The User and its insurers waive their rights of subrogation against the Preserve, its employees, officials, agents and representatives.
PARKING: Free parking is included with all rentals. Each venue has specific use of different parking lots. Vehicle wheels or parking is absolutely prohibited on the grass in any area of the Preserve at any time.
- The Moore Pavilion: Parking is permitted in the small, paved lot that includes handicap parking spaces above the Pavilion, and in the red gravel lower lot below the Pavilion. Parking is allowed on the side street next to the Pavilion for food trucks and for set-up/clean up purposes.
- The New Pond: Parking is permitted in the two-spot paved parking lot adjacent to the Pond for handicap access only and at the Visitor Center. Large Pond events are encouraged to park at the Moore Pavilion red grave lower parking lot and walk through the meadow or up the paved drive to the Pond using the pedestrian gates.
- The Stone Bridge/ The Gazebo/The Audubon Observatory/The Visitor Center Auditorium: Parking is permitted in the Visitor Center parking lot and on the left side of the drive.
AMPLIFIED SOUND: The Solebury Township noise ordinance requires that all amplified sound must cease at 10:00 pm. All event guests must leave the Preserve at this time. Only at the Moore Pavilion are vendors and Users allowed to stay onsite until 11 pm for cleanup purposes only. At the New Pond, audio amplification equipment must be oriented towards River Road due to residential houses behind the New Pond. The Preserve requires the cooperation of the band/DJ to manage the volume throughout the event. The Preserve is subject to fines and damages if noise interferes with neighbor’s reasonable use and enjoyment of their property, and it will be the sole responsibility of the User to pay all related fines and damages, if incurred.
PRESERVE AMENITIES: The Preserve does not provide any additional equipment other than the following:
- Electricity: Applicable at the Moore Pavilion, the Moore Pavilion and Visitor Center restrooms, the New Pond, Visitor Center Auditorium. All other event venue locations do not have electrical power supplies. The Preserve is not responsible for any power outages or providing a generator. In the event of a power outage, an emergency generator would be the sole responsibility of the User to supply.
- Water Access: Applicable at the Moore Pavilion, the Visitor Center Auditorium, the Moore Pavilion and Visitor Center restrooms.
- Restrooms: Located outside of the Visitor Center and near the Moore Pavilion. In the event that the restrooms are out of order, it is the sole responsibility of the User to procure an alternative restroom facility if necessary.
- Trash receptacles: Located at the Moore Pavilion (2), Visitor Center (1), New Pond (1), Visitor Center Auditorium (2). Each restroom at the Visitor Center and Moore Pavilion also includes trash receptacles. A four-yard dumpster and 64 gallon rolling recycling receptacle are located at the Moore Pavilion in additional to the two trash receptacles. Trash from all venue locations is to be disposed of in the dumpster located at the Moore Pavilion. If garbage cannot be disposed of in the provided receptacles, it is the sole responsibility of the User to procure an additional dumpster or dispose of the garage personally.
- Tables: 14 picnic tables are available for use at and only at the Moore Pavilion. Use of the Preserve’s folding tables and chairs, if available, is limited for use at the Visitor Center Auditorium only.
- Golf cart services and driver: The Event Coordinator is available to transport the User and event guests with limited mobility to and from rental venues.
THIRD-PARTY RENTAL EQUIPMENT: Tents, tables, chairs, portable toilets, audio-visual and other rental equipment may be rented from a third-party vendor. Please see provided list of preferred vendors. All vendor information must be supplied to the Event Coordinator no less than 30 days out from the scheduled event. The Preserve does not supply dressing rooms or green rooms for hair, makeup, musicians, performers, models, or other event-related staff.
RENTAL EQUIPMENT SETUP/CLEANUP: Rental equipment may be delivered and picked up outside of the designated event rental times. All rental deliveries and pickups must be arranged with the Preserve’s Event Coordinator. All rental tables/chairs and other items are prohibited from being setup until the rental period begins at the event venue. Rental tents can be delivered and setup in advance of the rental period but must be coordinated with the Preserve’s Event Coordinator. No rental equipment should remain on any lawn area after the conclusion of the event except for rental tents. At the end of the rental period, all rental equipment and items must be broken down and placed at each rental venue’s specific location.
- The Moore Pavilion: All rental items stacked together on the stone floor of the Pavilion.
- The New Pond: All rental items stacked in the corner of the paved handicap two-spot parking lot or behind the wooden enclosure on the paved pathway.
- The Stone Bridge: All rental items stacked to one side of the Bridge out of the way of the public.
- The Gazebo: All rental items stacked behind the Gazebo on the red stone pad.
- The Audubon Observatory: All rental items stacked on the wooden platform to one side out of the way of the public.
- The Visitor Center Auditorium: All rental items stacked together at the back of the Auditorium. Folding chairs that belong to the Preserve will be placed back on chair rack holder.
DECORATIONS: Decorating, set-up, and clean up are only permitted within the agreed upon rental period. Failure to comply will result in forfeiture of the full security deposit. Decorations are not to be stapled, screwed, nailed, or affixed in any way that would leave a lasting impression or mark any existing structure at the Preserve. Decorations or equipment cannot create large holes in the lawn/ground. No throwing of rice, confetti, glitter, or any non-compostable product. All decorations must be cleaned up at the end of the rental period and the space returned to its original state.
OPEN FLAME: Open flames are prohibited. All flames (such as candles) must be contained in a vessel or protective structure. All wax must be contained. Fires in the fireplace at the Moore Pavilion are permitted. Ashes should be placed in the fireplace or removed from the property. Ashes may NOT be discarded in trash bins or dumpsters. All fires must be extinguished at the end of the event. Grills are not provided but may be used at the Moore Pavilion in open-air with caution and due care. Fireworks are prohibited.
FOOD & DRINK: The Preserve does not provide any food or drink. Food and non-alcoholic beverages can only be brought in by the User or the User may engage a third-party vendor. All vendors must be approved by the Event Coordinator. Food and drink may not be offered for sale on the Preserve.
FOOD TRUCKS: Food trucks may park on the small, paved side street that is next to the Moore Pavilion, and along the left side of the driveway at the New Pond. There is absolutely no driving or parking any vehicles on any lawn/grass/plant areas at any time.
ALCOHOL: Only Users with host liquor liability insurance coverage are permitted to serve alcoholic beverages at the Preserve during the rental period. A third-party vendor can serve alcohol only if the vendor procures a certificate of liability insurance with retail liquor liability coverage. Alcoholic beverages shall not be consumed by anyone less than 21 years of age, as this is strictly prohibited and criminally penalized under Pennsylvania law. Alcoholic beverages can only be consumed at the rented facility during the rented hours and at no other area of the Preserve.
SMOKING: Smoking is only permitted at the Moore Pavilion. Smoking is prohibited in all other venue locations due to the endangerment of the Preserve’s plant collection. Used cigarette filters must be disposed of properly in a disposal can or ashtray.
PETS: Pets are only permitted at the Moore Pavilion and surrounding area. Pets are prohibited in all other venue locations due to the endangerment of the Preserve’s plant collection. Pets are forbidden to enter the Preserve gates. All pets must be leashed and under control of the handler at all times. All pet waste must be cleaned up after and properly disposed of.
PHOTOGRAPHY AND DRONES: Photography is permitted at the rental venue and any other non-rented area of the Preserve. If photographs are published, the Preserve should be credited. All Preserve visitation rules apply. Drones are permitted only with advanced written notice and permission from the Preserve
USE OF PRESERVE TRAILS: User and User’s guests may use and enjoy the Preserve’s trails and Visitor Center on a non-exclusive basis with all Preserve visitors during normal operating hours.
USE OF VISITOR CENTER: Wedding parties or event guests are not permitted to lounge or wait inside the Visitor Center. The Visitor Center is open for the public, is used for educational purposes and requires a separate rental fee for use. Please review the Visitor Center Auditorium rental fees and details.
